We are hiring a part-time Administration & Finance Manager to oversee and execute essential administrative, financial, HR, and customer service functions that support the daily operations of Wildlings. This is a hands-on, mid-level role suited to someone experienced in small business administration and confident working independently with a primarily international customer base. You will report to the CEO and supervise our full-time customer service and marketing assistant. You will develop in-depth knowledge of Wildlings' programmes in order to match programmes with customer needs and inspire continual improvement. Key Responsibilities: Finance & Procurement Liaise with external accountants; ensure accurate documentation of unreconciled items Understand customer needs to generate invoices, quotations, and process payments and refunds Use a company credit card to purchase operational items and proactively seek cost savings through vendor comparisons Administration & Customer Service Provide exemplary and efficient customer service that meets customer expectations and increases company revenue. Manage the company primary communication channels - our email inbox and WhatsApp business account. Provide day-to-day support and supervision to the full time customer service and marketing assistant. Cover additional customer service duties during staff leave. Draft and maintain standard customer documentation (e.g. terms & conditions, standard email replies). HR & Compliance Maintain staff records and annual leave logs Support onboarding of new hires and contractors, including payroll and contracts Coordinate and book staff training; deliver internal admin training as needed Ensure compliance with relevant regulations (e.g. Fire Safety, PDPA) Serve as the company’s Data Protection Officer Business Support & Events Conduct basic analysis of business performance by programme Work at all major events (e.g. open days, family events, launches) Work to ensure the continual improvement of business processes, customer service and administrative systems.
